Information For Walkers
When you start walking with us, we will ask you to complete New Walker Questionnaire. If you would like to save yourself some time, you can download and print a copy below.
In this group of documents you will also find a form to complete should you wish to give your Walk Leader the name of someone to contact in an emergency.
Should you have your picture taken on one of our walks that we wish to use for promotional purposes, we will need you to give us your permission. You can do that (or say no to us using your photograph) by using the Photograph Permission form.
Due to legislation that took effect on the 25th May 2018, please note the following update on the General Data Protection Regulations (GDPR)
Sandhurst Health Walks Privacy policy
Introduction
• Sandhurst Health Walks collects, and has access to, (via the Walking for Health database), some of your data (name, address, telephone number and email address). This enables us to contact you in the event of any changes in times and venues of our walks, and to let you know of any forthcoming events.
• This data is held legally, as it is essential to the running of the organisation.
Questions
• Should any queries arise, please contact:

What data we collect
• Name, address, email address and contact telephone number.
• This is collected via the Walker Registration Form and entered into the Walking for Health database.
• Certain members of Sandhurst Health Walks have access to the Walking for Health database: Colleen Pidgeon, Maggie North, Trish Wigley, Catherine Duvall and Keith Hyde. After entry, the paper forms are then destroyed.
• Sandhurst Health Walks do not store your data separately except in special circumstances, usually to create a specialised walk register where language or communication problems mean it is difficult to take a register in the normal way. If this should be the case, you will be notified, and if you object to this, your data will be removed from the list.
How we use your information
• Walking for Health has its own Privacy Policy: www.walkingforhealth.org.uk/privacy-policy
• Sandhurst Health Walks may very occasionally need to use the information to contact you if we need to change the date or venue of a walk, or if we want to notify you of an event, say a Christmas party.
• As previously mentioned, we may use names to create a register
• We will not share your data with any other person or organisation unless anonymised (see below).
Research and profiling
• Occasionally we analyse anonymised data, using the Walking for Health database, to evaluate the effectiveness of the walks programme.
• We may also use data to see how many walks per week our walkers participate in. Any results will be anonymised.
• Anonymised results may, very occasionally, be shared with third parties; for example, we were recently nominated for a Queen’s Award and needed to share anonymised data with Bracknell Forest Borough Council and HM Government, and we might also need to do this if we were applying for funding from an external source.
Complaints
• If you have a complaint, please contact Colleen Pidgeon (see above for contact details). Or you can contact the ICO (Information Commissioner’s Office).
